Seller Policy

EasyBuy Uganda Seller Policy

Effective date: 23 April 2026

EasyBuy Uganda is a local ecommerce marketplace that helps Ugandan businesses and individual merchants reach customers across Kampala and other parts of Uganda through our website and mobile channels. This Seller Policy explains the rules, responsibilities and service standards that apply to every seller listing products or fulfilling orders on EasyBuy.

By opening a seller account, uploading products or accepting an order on EasyBuy, you agree to follow this Seller Policy together with our Terms and Conditions, Privacy Policy, Return Policy and any operational guidance published by EasyBuy from time to time.

1. Eligibility to Sell

To sell on EasyBuy, you must provide accurate registration and contact details and, when requested, documents needed to verify your identity or business. Depending on the nature of your store, EasyBuy may request any of the following:

  • full legal name or registered business name;
  • valid mobile number and email address;
  • physical operating address in Uganda;
  • National ID, passport, TIN, trading licence or certificate of registration, where applicable;
  • bank or mobile money payout details in the seller's name or business name.

Sellers must be legally allowed to trade in Uganda and must only offer products that they are authorised to sell.

2. Product Listing Standards

All products listed on EasyBuy must be accurately described so that Ugandan consumers can make informed purchase decisions. Sellers are responsible for ensuring that each listing includes correct information about the product name, brand, size, colour, specifications, condition, price, warranty (if any), and what is included in the package.

  • Images must clearly represent the actual product being sold.
  • Prices must be shown in Uganda Shillings unless otherwise enabled by EasyBuy.
  • Stock quantities must be kept up to date.
  • Delivery timelines and any limitations must be stated honestly.
  • Used, refurbished or imported items must be clearly labelled as such.

Misleading titles, keyword stuffing, fake discounts, duplicate listings and inaccurate product descriptions are not allowed.

3. Prohibited and Restricted Products

Sellers may not list illegal, unsafe or prohibited goods on EasyBuy. The following are not allowed unless expressly approved by EasyBuy and permitted by Ugandan law:

  • counterfeit, pirated or imitation goods;
  • stolen property or goods of suspicious origin;
  • weapons, ammunition or harmful devices;
  • illegal drugs, narcotics or drug paraphernalia;
  • prescription medicines sold without the required authorisation;
  • adult, obscene or exploitative content;
  • live animals, wildlife products or items restricted by environmental or wildlife law;
  • products that infringe trademarks, copyrights or other intellectual property rights;
  • any item banned from sale, importation or distribution in Uganda.

EasyBuy reserves the right to remove any listing that creates legal, safety, reputational or consumer protection risk, even if the item is not expressly listed above.

4. Order Acceptance and Fulfilment

When a seller accepts or processes an order, the seller agrees to fulfil it within the stated handling time. Sellers must package goods properly, provide correct handover information and cooperate with EasyBuy, our delivery partners or approved pickup arrangements.

  • Orders should be prepared promptly after confirmation.
  • Sellers must not delay shipment because of price changes after purchase.
  • If an item becomes unavailable, the seller must notify EasyBuy immediately.
  • Sellers must not mark an order as shipped or delivered when it has not been dispatched or received.

Consistent order cancellations, late dispatch, poor packaging or failure to fulfil paid orders may result in account penalties.

5. Product Quality and Authenticity

Sellers are fully responsible for the quality, safety, legality and authenticity of the goods they offer. Every item delivered to a buyer must match the listing and be fit for normal use, subject to the product description and any disclosed limitations.

Where a product carries a manufacturer or seller warranty, the seller must honour that warranty as advertised. EasyBuy may ask sellers to provide invoices, supply records or proof of authenticity for branded items.

6. Pricing, Fees and Payouts

Sellers may set their own product pricing, subject to campaign rules, platform commission, delivery charges, taxes and promotional arrangements agreed with EasyBuy. EasyBuy may deduct applicable commissions, payment processing fees, refunds, penalties, chargebacks or other lawful adjustments before releasing payouts.

Payouts may be made through approved bank transfer or mobile money channels in Uganda. EasyBuy may place a temporary hold on payouts where there is a pending complaint, suspected fraud, excessive returns, account verification issue or legal compliance review.

7. Taxes and Legal Compliance

Each seller is responsible for understanding and complying with all tax, licensing and regulatory obligations applicable to their business in Uganda. This includes, where relevant, URA registration, invoicing obligations, VAT treatment, customs obligations for imported goods, and sector-specific approvals.

EasyBuy does not provide legal or tax advice to sellers. Sellers should consult their accountant, legal adviser or relevant Ugandan authority where needed.

8. Customer Service Expectations

Sellers must treat buyers fairly, professionally and in good faith. Sellers are expected to respond to order issues, stock questions, warranty requests and delivery concerns within a reasonable period. Communication with buyers must remain respectful and must not include harassment, threats, abuse or requests to move transactions off-platform in order to avoid fees or oversight.

9. Returns, Refunds and Disputes

Sellers must cooperate with EasyBuy's return and refund process. If a buyer receives the wrong item, a damaged item, a defective product or an item materially different from the listing, the seller may be required to accept a return, replacement or refund in accordance with EasyBuy's Return Policy and applicable consumer protection principles.

EasyBuy may review transaction records, delivery information, seller communications, photos, videos and other evidence when resolving disputes. EasyBuy's decision on marketplace disputes will be binding for purposes of platform administration, without prejudice to any rights a party may have under Ugandan law.

10. Intellectual Property

Sellers must only upload content, logos, brand names, product images and descriptions that they own or have permission to use. If EasyBuy receives a credible complaint of copyright or trademark infringement, we may suspend the relevant listing or seller account pending review.

11. Data Protection and Confidentiality

Sellers may receive limited customer information strictly for order fulfilment and support. That information must only be used for completing the EasyBuy transaction and may not be sold, reused for unauthorised marketing or shared outside the fulfilment process except where required by law.

Sellers must maintain appropriate security over login credentials, devices and order information. Any suspected account compromise must be reported to EasyBuy immediately.

12. Fraud, Abuse and Marketplace Integrity

The following conduct is prohibited:

  • fake orders, self-purchases or review manipulation;
  • attempts to divert customers away from EasyBuy for off-platform payment;
  • submission of forged verification or payout documents;
  • use of misleading promotions or bait-and-switch tactics;
  • abuse of coupons, refunds, wallet systems or payment channels;
  • any activity that may expose EasyBuy, buyers or delivery partners to fraud or financial loss.

EasyBuy may investigate suspicious activity and share relevant information with payment partners, logistics partners or competent authorities where necessary.

13. Enforcement and Penalties

If a seller breaches this policy, EasyBuy may take one or more actions depending on severity and frequency, including:

  • listing removal or editing restrictions;
  • temporary suspension of products or account access;
  • payout delay or reserve hold;
  • cancellation of orders or forced refunds;
  • permanent account closure;
  • reporting to law enforcement, regulators or rights holders where appropriate.

EasyBuy may act immediately where necessary to protect customers, comply with legal obligations or preserve trust in the marketplace.

14. Policy Updates

EasyBuy may revise this Seller Policy from time to time to reflect changes in our services, operational requirements, Ugandan market conditions or applicable law. Updated versions become effective once posted on the platform unless a later date is stated.

15. Contact

Questions about this Seller Policy or seller compliance matters may be sent through the EasyBuy contact channels listed on our platform. Sellers are encouraged to keep their contact information current so they can receive important notices without delay.
